Communications — Custom No Show Email Template

Overview

This QRG explains how to create a custom no show email template and associate the newly created template with a classroom or webinar session. This template is used to automatically send an email notification to students who are marked as No Show.

Enabled Permissions Required to Complete the Following Steps

  • Communications > Emails > Email Templates (User Group Admin, Sub Admin)

  • Classroom Sessions (User Group Admin, Sub Admin)

  • Webinar Sessions (User Group Admin, Sub Admin)

Note: Sub Admin and User Group Admin without access to complete these steps should review Permissions with a Main Admin

Create a Custom No Show Email Template

1.      From the Admin Navigation menu, click Communications.

2.      Click the Emails tab.

3.      Click the Email Templates tab.

4.      Select Add New Template. For step-by-step instructions on setting up an Email Template, see Knowledgebase article: Communications Email Tab. If a template already exists, please proceed to step 1 of the next section.

5.      Create the Email Text.

    • Example of what can be included in the Email Text:

      • Use Placeholder Text to personalize the message. All available placeholders are listed in the pop-up link just below Email Text. For example, [first_name] and [last_name] are commonly used to greet the user by name.

        • The following placeholders can only be used for session emails:

          • [classroom_title]

          • [start_date]

Associate the No Show Email Template with a Classroom or Webinar Session

1.      From the Admin Navigation menu, click Classroom Sessions or Webinar Sessions.

2.      Double-click the classroom or webinar session from the Sessions list to select it.

3.      Click the Register Students tab.

4.      Ensure the classroom or webinar session has the Send No Show Email check box checked.

5.      Select the template from the No-Show Template drop-down menu.

6.      Click Save.

Note: A Default Class No-Show Template can be selected in Admin Navigation à General Settings à Email by Main Admin and Sub Admin with Emails Permissions.
