Admin Tools — Content Management Actions Quick Reference Guide
Audience: Main Admin, Sub Admin, User Group Admins
Overview
The Admin Tools tab allows you to customize portions of the LMS and complete specific actions. In this QRG, actions regarding sessions, content, learning tracks, certifications, autoassignments, etc. are covered.
Enabled Permissions Required to Complete the Following Steps
- Admin Tools: Show User Assignments (Sub and User Group Admins)
- Admin Tools: Import Classroom Sessions (Sub and User Group Admins)
- Admin Tools: Import Webinar Sessions (Sub and User Group Admins)
- Admin Tools: Reset Certifications (Sub and User Group Admins)
- Admin Tools: Run Autoassignments (Sub Admins)
- Admin Tools: Update Category Order (Sub Admins)
- Admin Tools: Update Content Order (Sub Admins)
- Admin Tools: Import Dropdown Options (Sub Admins)
Note: If you are unable to complete the steps in this QRG, check with your Main Admin to review your Permissions.
Steps to Import Classroom Sessions
The CSV file including Content Code, Session Code, Location Code, Instructor, Organizer, Start Date, Start Time, End Date, End Time, etc. must be created in advance of these steps. See the Import Classroom Sessions pop-up window for remaining fields and additional instructions.
- From Admin Navigation, click Admin Tools.
- Click Import Classroom Sessions.
- Click Download CSV Template for an Excel spreadsheet (class_session_import_template) to fill out with the required information.
- Click Choose File to select the CSV file.
- Select the file from the folder structure.
- Click Upload.
Steps to Import Webinar Sessions
The CSV file including Content Code, Session Code, URL, Instructor, Organizer, Date, Start Time, Register Before Date, Register Before Time, Timezone, Per Seat Cost, Student Open Registration, Attendance Verification Code, User Group Admin Can Register Students, Notes, and Access Instructions must be created in advance of these steps. See the Import Webinar Sessions pop-up window for remaining fields and additional instructions.
- From Admin Navigation, click Admin Tools.
- Click Import Webinar Sessions.
- Click Download CSV Template for an Excel spreadsheet (webinar_session_import_template) to fill out with the required information.
- Click Choose File to select the CSV file.
- Select the file from the folder structure.
- Click Upload.
Steps to Import Dropdown Options
The CSV file containing Field ID, Value, and Default Language must be created in advance of these steps. These are required fields. Optional fields include Parent Value, Admin Only, Main Admins, and additional columns of each other LMS language.
- From Admin Navigation, click Admin Tools.
- Click Import Dropdown Options.
- Click Download CSV Template for an Excel spreadsheet to fill out with the required information.
- Click Choose File to select the CSV file.
- Select the file from the folder structure.
- Click Upload.
Steps to Update Category Order
Use this tab to reorder the content categories in alphabetical order.
- From Admin Navigation, click Admin Tools.
- Click Update Category Order.
- Click Yes.
Steps to Re-order Learning Track Content
Use this tab If there are problems reordering content inside learning tracks.
- From Admin Navigation, click Admin Tools.
- Click Re-Order Learning Track Content.
- Click Yes to continue.
- Click OK.
Steps to Send Added Content Notifications
- From Admin Navigation, click Admin Tools.
- Click Added Content Notification.
- Apply the filters to see a specific list in the Select users to receive email window.
- Double-click a Username to add them to the list below.
- Click a Username in The following users will receive nightly emails list and click Remove to delete the user from the list.
- Click Save.
Steps to Reset Certifications
- From Admin Navigation, click Admin Tools.
- Click Reset Certifications.
- Click one of the Choose One option buttons.
- Select the name of the certification from the Certification drop-down menu.
- Apply the filters to display a specific list of users in the window.
- Click the Username.
- Click Reset.
Steps to Notify User of Added Content Comment
- From Admin Navigation, click Admin Tools.
- Click Added Content Comment.
- Apply the filters to see a specific list in the Select users to receive email window.
- Double-click a Username to add them to the list below.
- Click a Username in The following users will receive weekly emails list and click Remove to delete the user from the list.
- Click Save.
Steps to Run Autoassignments
- From Admin Navigation, click Admin Tools.
- Click Run Autoassignments.
- Click Yes.
- Click OK.
Steps to Update Content Assignments
- From Admin Navigation, click Admin Tools.
- Click Update Content Assignments.
- Click Yes.
- Click OK.
Steps to Clear Suspend Data
Use this tab to clear the suspend data for SCORM and AICC content items.
- From Admin Navigation, click Admin Tools.
- Click Clear Suspend Data.
- Enter the Content ID in the Search field.
- Click the content.
- Click Clear Suspend Data.
- Click OK.
Best Practices
Do not run the Run Autoassignments or Update Content Assignments during business hours as it can impact system performance and will impact what content users have access to when they login until the process finishes.
