Reports — User Reports
TraCorp LMS Quick Reference Guide (QRG)
Audience: Main Admin, Sub Admin, User Group Admin
Overview
The Reports tab provides access to LMS data across a variety of report formats. This QRG covers the Manage Reports utility and reports related to users, including training records, user account data, and credential tracking.
Enabled Permissions Required to Complete the Following Steps
- Reports (Sub Admin)
- Reports > Distribution List (Sub Admin, User Group Admin)
- Reports > Badge Statistics (User Group Admin)
- Reports > CEU Results (User Group Admin)
- Reports > New Hire Report (User Group Admin)
- Reports > Student Activity Report (User Group Admin)
- Reports > Student Transcript (User Group Admin)
- Reports > User Change Log Report (User Group Admin)
- Reports > User Credit Summary (User Group Admin)
- Reports > User Group Records (User Group Admin)
Note: Sub Admin and User Group Admin without access to complete these steps should review Permissions with a Main Admin.
Manage Reports
Manage Reports provides access to saved reports, background report results, and scheduled report runs. It is accessible from the top of the Reports tab and applies to all reports.
- From Admin Navigation, click Reports.
- Click Manage Reports.
- Click Saved Reports to view and access reports saved with specific settings. Click a report title to run it again. Click Delete to remove a saved report. Click Share to share a saved report with other admins.
- In the Share window, select one of three methods: click Select Users to choose specific users; select a report from the drop-down to share with everyone who has access to that report; or enter SQL conditions to define recipients by user group criteria.
- Click Share.
- Click Report Queue to view the status of reports run in the background. Click Download to retrieve a completed report. Click Share to share a completed report (same Share window). Click Delete to remove a report from the queue.
- Click Scheduled Reports to view or delete scheduled report runs.
Badge Statistics
Lists users who have completed the selected Content, Learning Track, Program, and/or Video Module badges.
- From Admin Navigation, click Reports.
- Click Badge Statistics.
- Configure optional filters, date range, and display options as needed.
- Select one or more badges from the Badges list.
- Click Create Report.
CEU Results
Shows student submissions for continuing education units.
- From Admin Navigation, click Reports.
- Click CEU Results.
- Configure optional filters and display options as needed.
- Select a year from the Select Year drop-down menu.
- Select a CEU item from the list displayed.
- Click Create Report.
Distribution List
Lists all users in the selected Distribution List.
- From Admin Navigation, click Reports.
- Click Distribution List.
- Select the Type of Distribution List: Email, News & Updates, or Campaigns.
- Select a Distribution List from the drop-down menu.
- Click Create Report.
Export User Data
Exports data about the users in the LMS. Does not include training records. This report is accessible to Main Admin only.
- From Admin Navigation, click Reports.
- Click Export User Data.
- Select the User Status options to include: Active, Idle, and/or Inactive.
- Configure optional date filters for Registration Date and Last Login as needed.
- Select the User Types to include in the report.
- Configure optional additional fields and filters as needed.
- Click Create Report.
New Hire Report
All training records for a single student filtered by hire date (date added to LMS).
- From Admin Navigation, click Reports.
- Click New Hire Report.
- Enter a date in the Registered after field to filter the user list by LMS registration date, if needed.
- Select or enter the Filters to search for a user. Click Go.
- Select the user from the Select A User list displayed.
- Click Create Report.
Student Activity Report
All training records for a single student.
- From Admin Navigation, click Reports.
- Click Student Activity Report.
- Configure optional filters, date range, and display options as needed.
- Select or enter the Filters to search for a user. Click Go.
- Select the user from the Select A User list displayed.
- Click Create Report.
Student Transcript
Transcript for a single student.
- From Admin Navigation, click Reports.
- Click Student Transcript.
- Select or enter the Filters to search for a user. Click Go.
- Select the user from the Select A User list displayed.
- Click Create Report.
User Change Log Report
Retrieves change log data by user.
- From Admin Navigation, click Reports.
- Click User Change Log Report.
- Configure the optional date range as needed.
- Select a Scope: All Users, User, or User Group.
- If User is selected, select or enter the Filters to search for a user. Click Go, then select the user from the list displayed.
- If User Group is selected, select a User Group from the list displayed.
- Click Create Report.
User Credit Summary
Summary of credits completed for each user in a User Group.
- From Admin Navigation, click Reports.
- Click User Credit Summary.
- Configure optional filters, date range, and display options as needed.
- Select a User Group from the User Group list.
- Click Create Report.
User Group Records
Training records for students in a single user group.
- From Admin Navigation, click Reports.
- Click User Group Records.
- Configure optional filters, date range, and display options as needed.
- Select a User Group from the User Group list.
- Click Create Report.
Best Practices
Use Manage Reports to save frequently run reports with preferred settings. Saved reports can be shared with other admins or re-run with one click. Reports run in the background are available for download in the Report Queue.
